Purchasing & Administration Officer
Our Business Affairs Department currently has a vacancy for a Purchasing & Administration Officer to join their team on a permanent, part-time basis (30 hours per week).
Reporting into the Business Affairs Supervisor, and working closely with the Business Affairs team, managers, and team members of other departments, this role is responsible for facilitating purchasing requirements, cost management, and vendor management within structured systems, guidelines, and controls for the benefit of Nintendo.
Additionally, this role ensures all administrative requirements are completed in a timely manner to support the continual operational efficiency of the Business Affairs Department.

Key requirements for the role include (but are not limited to):
Various vendor selection and maintenance duties, such as creating and maintaining vendors in SAP, maintaining ongoing knowledge of required goods and services, and reviewing existing vendors for performance and continuation of supply agreements / contracts.
Various duties relating to the management of Purchase Orders (PO’s), including raising POs and ensuring they are invoiced, acting on any changes as instructed by the Finance Department, and running reports as required for follow up.
Documenting, reviewing and communicating purchasing policies and guidelines, and maintaining the purchasing manual within the scope of the role to improve the efficiency of purchasing processes.
Various administrative duties, such as regularly checking in-house systems for any vendors and contracts that need to be finalised, following up with the vendor owner if action is required, and monitoring and managing incoming emails via the shared inbox.
Various qualitative control duties, including reviewing and certifying that goods and services are delivered in full, on time, and intact, recording discrepancies, and working with vendors and department staff to reject goods or services, negotiate costs, or renegotiate new supply whereby fulfilment has not been satisfactory.
Various asset procurement and asset management duties, including obtaining quotes, details, and authorisation for requests, purchasing and coordinating deliveries and repairs.
Managing the ordering of services and consumables, including conducting a stocktake of office stationery, and liaising with agency for all local / international requests relating to travel and accommodation.
To succeed in the role, you will require:
A minimum qualification of a Certificate III in Business Administration (or equivalent accreditation).
3+ years’ experience in a Purchasing and / or Administration role.
Experience using SAP (for Purchase Order Set-Up & Maintenance, Vendor and Contract Management).
Proficiency in Microsoft Office (MS) Suite.
Excellent verbal and written communication skills, with the ability to build strong and effective relationships with internal and external stakeholders.
Exceptional time-management and organisational skills.
Strong attention to detail and negotiation skills.
